Access to The Reportal

The most usual level of access for Heads of School and staff in equivalent positions is to the Reportal only. This will enable you to:

  • view 'official' University reports in the Corporate and Indicators area of the Reportal. These reports will mostly have been created by MIS or other areas responsible for official data such as the Research and Research Training Division (RRTD).
  • view and, where applicable, refresh reports in your own faculty/divisional area. Reports in these areas are restricted to staff belonging to the individual faculty/division.
  • view and, where applicable, refresh reports in your own personal area of the Reportal. Reports can be sent to your personal area by other users but only you can view reports within this area. For example, your finance officer may prepare and send you a report with the latest details of your school/area's budgetary position.

Access to BusinessObjects

If you wish to do your own ad hoc queries or read and refresh reports within BusinessObjects then you should also request access to the BusinessObjects software. Staff in MIS or those familiar with BusinessObjects in your school/area can advise you if you are unsure whether you require this access.

Access to Data Collections

When you request access to the Reportal or to BusinessObjects you will also need to advise which data collections you wish to use so that we can compile your security profile. Heads of School and staff in equivalent positions will generally require the full range of data collections. These include student, staff, finance, research and other smaller collections. For UQ staff eligible to use the Data Warehouse access to data in some collections, such as student, is unrestricted. In other collections, such as finance, access is restricted to your area of responsibility.

Training for The Reportal

Most of the reports on the Reportal are web versions of BusinessObjects documents and can be viewed without any special training. There are some supplementary reports in PDF, Word or Excel format which are downloadable in the usual fashion. The Reportal has an 'About' section which highlights some of its features such as how to print reports in PDF rather than HTML format, how to send reports to other users, how to use the search function etc.

Reportal workshops are available if you wish to make full use of the Reportal's functionality. Key support staff in your school/division should attend this training to learn how to send management reports to your personal area of the Reportal.




Training for BusinessObjects

There are several levels of BusinessObjects training available. Unless you wish to create your own reports or modify reports that have been created by someone else you will not need to undertake BusinessObjects training. It is strongly recommended however, that key staff within your area attend this training to provide you with ad hoc or specific management information reports that are not available elsewhere in the Reportal.

Your support staff

MIS has found that one of the most effective ways of helping senior executives with their management information needs is to train and provide ongoing support to key administrative staff in the faculties, schools and other areas. This enables these staff to understand what is available, create reports or modify existing reports, provide input when standard reports are being developed and to seek informed help. The synergy between staff in the operational areas and MIS has resulted in MIS having a better understanding of user needs and how to accommodate them. It has also meant that staff in the faculties, schools and other areas can operate more efficiently by reducing manual processes as well as providing senior executives with the information they need.

We suggest that you identify key staff within your area to be trained in BusinessObjects and in the data available, as well as attending Reportal workshops. For example, a faculty or school administrative officer dealing mainly with student matters would be interested in the range of operational student reports available in the Faculty portals. It would also be useful for them to learn how to extract student information from the Data Warehouse using BusinessObjects. The number and type of staff you identify will depend upon the size of your area of responsibility and the range of functions performed. Other Information

In addition to training and workshops MIS offers telephone support, including a remote shadowing facility, and on-site consultancy. We also provide information sessions for faculties, schools and other areas. A range of standard reports is available and more are being developed.
