Access to The Reportal

You will need access to the Reportal to
  • view 'official' University reports in the Corporate and Indicators area of the Reportal. These reports will mostly have been created by MIS or other areas responsible for official data such as the Research and Research Training Division (RRTD).
  • view and, where applicable, refresh reports in your own faculty/divisional area. Reports in these areas are restricted to staff belonging to the individual faculty/division.
  • view and, where applicable, refresh reports in your own personal area of the Reportal. Reports can be sent to your personal area by other users but only you can view reports within this area. You may find it more convenient to view some of your BusinessObjects reports on the web than by logging on to BusinessObjects. You may also wish to send reports to your Head of School/Division's personal area. You can test these reports on your own personal area before you send them.

Access to BusinessObjects

You will also need access to BusinessObjects to do your own ad hoc queries, to customise standard reports for your own needs or simply to read and refresh reports within BusinessObjects.

Access to Data Collections

Information in the Data Warehouse is stored within data collections. Each data collection has one or more universes attached to it. When your access request form has been approved by the appropriate authority (your faculty/school/section head) and forwarded to MIS you will be given access to a number of data collections and universes which are available to all users of BusinessObjects. Some collections and/or universes are restricted and can be requested by ticking the appropriate box on the access request form. Finance Officers should ensure that the finance collection box is ticked. If you also require access to restricted staff details for your organisational unit you should tick the restricted staff collection box.

Training for The Reportal

Most of the reports on the Reportal are web versions of BusinessObjects documents and can be viewed without any special training. There are some supplementary reports in PDF, Word or Excel format which are downloadable in the usual fashion. The Reportal has an 'About' section which highlights some of its features such as how to print reports in PDF rather than HTML format, how to send reports to other users, how to use the search function etc.

Reportal workshops are available if you wish to make full use of the Reportal's functionality. Finance officers would benefit from this training. It will teach you how to make use of the full functionality of the Reportal including sending management reports to your personal area as well as to that of your supervisor and other managers.


Training for BusinessObjects

There are several levels of BusinessObjects training available. This training will enable you to gain the most benefit from the Data Warehouse and BusinessObjects. In addition to learning how to create and format your own reports you will discover how to adapt standard reports for specific use as well as a range of features which should make your life easier. It is recommended that finance officers attend the full range of training available.

Standard reports

As well as the reports on the Reportal which can be downloaded and customised for individual use, MIS has developed a number of standard reports. Finance reports showing monthly general ledger summary and transaction details as well as information on budgetary performance are available. To access these and other standard reports click here.


Other Information

In addition to training and workshops MIS offers telephone support, including a remote shadowing facility, and on-site consultancy. We also provide information sessions for faculties, schools and other areas.
